Licensing controls how many teachers, students, and administrators can access CurricuLLM, and what features they can use.

Types of licenses

• Admin → Full access to manage accounts, roles, filters, and school-wide settings.
• Staff → Teacher access to all classroom and planning features.
• Staff Free → A limited license for teachers (daily limits, but generous).
• Student → Student access with curriculum alignment, progression tracking, and safety filters.
• Unlicensed → An account that exists but does not currently use up a license.

Managing licenses in CurricuLLM

• View license usage
  • At the top of the Users screen, you’ll see counters showing how many Admin, Staff, and Student licenses are available and how many are in use.
• Add new users
  • When you invite a user, you must choose a license type.
  • New Staff Free accounts default to the Default Role.
• Change a license
  • You can upgrade (e.g. Staff Free → Staff) or downgrade (e.g. Staff → Unlicensed) through the dropdown next to a user.
  • Only available licenses show in the dropdown, so you cannot assign more licenses than you have.
• Unlicense a user
  • Moving a user to “Unlicensed” frees up their license for someone else.
  • Their role will reset to the Default Role and be locked.
• Student stages
  • Only Student licenses allow you to set a curriculum stage (e.g. Year 7, Stage 4).
  • Admin and Staff accounts cannot have a stage assigned.

Tips for administrators

• Regularly review license allocation to make sure active users have the right type.
• Move inactive or duplicate accounts to “Unlicensed” so those licenses can be reassigned.
• Use “Staff Free” licenses for temporary or trial accounts.
• Remember that a user’s role works together with their license to control filters and permissions.
